First Steps
Create your account and pick a plan
Sign up for ChatFlow, select the plan that best fits your business, and access your control panel for the first time.
Set up your first business
Add name, business type, and configure basic variables like schedules, services, and prices from the Settings tab.
Understand your Dashboard
Learn about the main sections: overview with metrics, appointment calendar, received leads, and delivery orders.
Connect WhatsApp
Link your WhatsApp number
From your Dashboard, click 'Connect WhatsApp'. A QR code will be generated to scan with your phone's WhatsApp app.
Verify the connection
Once scanned, the indicator will turn green. Your bot will be active and respond automatically to incoming messages.
Troubleshoot connection issues
If connection is lost, disconnect and reconnect from the panel. Ensure WhatsApp Web is not open in another browser.
Configure your Bot
Choose and activate a template
When requesting a bot, our team selects the ideal template for your business. Each template includes optimized industry flows.
Customize variables
In Settings > Variables, edit values the bot uses to respond: prices, schedules, services, welcome message, etc.
Enable or disable features
In the 'Features' tab, activate or deactivate modules like Delivery, Loyalty Program, or Lead Forms according to your plan.
Appointment Management
How customers book
When a customer writes via WhatsApp, the bot shows available services, free times, and confirms the appointment automatically.
View and manage your calendar
From the Dashboard, view all monthly appointments in a visual calendar. Click for details on any appointment.
Appointment cancellation
Customers receive a link to cancel if needed. Cancellations are reflected immediately in your calendar.
Delivery (Restaurants)
Enable Delivery system
In Settings > Features, enable 'Delivery'. The bot will automatically show the home delivery option in the WhatsApp menu.
Receive and manage orders
Orders arrive at the Dashboard with name, address, items, and payment method. Change status from the interface.
Configure Stripe payment
Add your Stripe link in Settings > Variables. Customers can pay online before the order is dispatched.
Artificial Intelligence
How AI works in your bot
AI blocks allow your bot to answer questions outside the programmed flow using provided notes and context.
Configure AI notes
In Settings > Advanced, write AI instructions: voice tone, business info, FAQs, etc.
Billing and Plans
Change or cancel your plan
From your profile, update your plan or cancel your subscription. Cancellation applies at the end of the billed period.
Payment methods
We accept all major credit/debit cards via Stripe. Payments are protected with bank-level encryption.
Teams (Enterprise Plan)
Invite workers with a code
From Team > Company Code, share the unique code with employees. They register and link to your business.
Assign services to workers
Each worker can have assigned services. The bot distributes appointments based on their availability.
